The impetus for this project was the 1997 closing of four developmental centers for the developmentally disabled.

The State in partnership with BMI, implemented a project to create a “Repository of Records” and thereby archive the approximately 5 million client records from the four closing facilities. In addition, the remaining 5 Developmental Centers had in excess of 12 million closed and active records that would need to be imaged and added to the repository. BMI Imaging Systems was chosen to manage this conversion and assist with the creation of the Record Repository. To date all of the 17 million documents have been successfully imaged and archived.



BMI has also managed the implementation and ongoing support of software to provide automated access to the archived and active records. The software chosen for this project was ApplicationXtender from EMC Software Groups. The software was successfully installed at all seven Developmental Centers throughout the state and is the sole means of access for these records.

The bottom line
BMI was able to tackle an extremely complex and large-scale document management challenge. The combination of expert assessment through BMI's Professional Service organization, and the resulting efficient design of a hardware, software and hosting solution allowed this project to be completed with a minimum of disruption, while maximizing the limited resources of a downsized organization.
